Year-End PAYE Filing Guide - for Payroll Manager

As we approach the end of the 2024-25 tax year, it’s important to understand the basic payroll tasks to complete for your business. Here’s a quick guide on what you need to know for Year-End PAYE filing, to ensure everything is done on time and in compliance with HMRC regulations.

Filing the Final Payroll in the Last Period in the Year
Your last payroll for the year should be filed on or before your employees’ payment date, but no later than 5 April 2025. Attention should be paid to the end date of the monthly submission (either 31 March or 5 April) and the actual payment date of the "Final Month". The final RTI FPS ensures that all payroll information is up-to-date and compliant.

Filing the Last Return for 2024-25
Your final return to close the PAYE of the tax year must be filed on or before your employees' payment date. In practice, this means that all final returns for 2024-25 should be submitted by 5 April 2025. Additionally, HMRC requires that you submit a ‘Final Return’ for the year, which is done by filing an Employer Payment Submission (EPS). Ensure that the final FPS before this is accurate and submitted on time to avoid any compliance issues.

Producing P60s for Employees
Each employee who worked for you on 5 April 2025 must receive a P60. The P60 summarises the year’s total pay and deductions. You need to provide this to employees by 31 May 2025.

Creating a New Payroll Data File for 2025-26
A new data file must be created for the 2025-26 tax year to continue processing payroll. This file will carry forward relevant information from 2024-25, ensuring seamless payroll management.

Key Deadlines

  • 5 April 2025: Submit the final FPS for the 2024-25 tax year.
  • 19 April 2025: Submit the final Employer Payment Submission (EPS).
  • 31 May 2025: Provide P60 forms to all employees.
  • 6 July 2025: Submit P11D and P11D(b) for any expenses or benefits provided to employees.

Depending on the software you use, different software has different function menus, and the menus are slightly different. If you have questions, ask the software developer how to properly handle these tasks. Don't let software problems become your tax problems.
